Job Summary:
Under the direction of the Community Fund Director, provide administrative support and assist with facilitation of the grant application and review process.
Essential Functions:
- Requires frequent interaction with internal/external customers, including grant applicants, employees, tribal organizations, etc. Answers routine questions and directs inquiries as needed.

Works with members of the public and all staff in a professional courteous manner, providing excellent customer service.- Answers a multi-line phone system and gives information to callers or routes calls to appropriate individuals.
- Reviews, routes or responds to written correspondence.
- Makes copies, collects, sorts and assembles information; organizes and routes information.
- Assists in the development and preparation of material for the Spirit Mountain Board of Trustees and Tribal Council.
- Prepares and sends routine correspondence.
- Coordinates travel and meeting arrangements, including advances and expense reports, as well as securing accommodations and equipment for meetings or travel.
- Prepares check requests, purchase orders and requisitions for payment.
- Maintains calendar of events and activities. Assists Director with calendar management.
- Prepares accurate minutes of all Board of Trustee meetings and retreats for approval.
- Maintains department filing systems. Assists with updating and maintaining Fund files and prepares files for archival storage.
- Maintains basic inventory of office supplies, equipment and logo materials.
- Maintains confidentiality of all designated SMCF business.
- Assists team in screening inquiries and applications.
- Communicates grant criteria, guidelines and priorities to individuals as necessary.
- Ensures completeness of information submitted and coordinates with applicants for missing data or necessary follow up materials.
- Assists with database data entry and management.
- Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses:
- Requires a high school diploma or GED
- Requires a minimum of two (2) years of work experience in an office administration position.
- OR equivalent combination of education, training and experience.
- Must maintain a valid Oregon driver's license or obtain one upon hire, qualify for the Tribe's vehicle insurance, and provide proof of personal vehicle insurance.

- Requires excellent verbal, written and interpersonal skills.
- Requires the ability to work as a team player.
- Demonstrated ability to prioritize work, and effectively communicate orally and in writing with all levels.
- Ability to operates a variety of standard office equipment.
- Ability to operate a personal computer (including word processing, data base and spreadsheet software, calculator, office copiers, etc.).
- Ability to read, analyze, and interpret general business materials, professional journals, technical procedures, or government regulations.
- Ability to apply mathematical concepts.
- Ability to solve practical problems
- Ability to work independently, performing duties on own.
- Requires a minimum typing speed of 40 wpm. Testing will be completed as part of application review process.
- Knowledge of and sensitivity to Native American culture required.
Environmental Factors and Conditions/Physical Requirements:
- Continually requires the ability to express or receive detailed information or important instructions through oral communication.
- Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks.
- Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
- Occasionally requires lifting of up to 40 pounds.
- Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
- This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
- May be called upon to serve as a Disaster Reservist during emergencies, or when the Tribal Emergency Operations Center is opened.
- Local travel is occasionally required. Travel outside of the state is infrequently required.
